Notes on Students

The Stellic Notes tool enables graduate advisors to record summaries of meetings, including decisions, course recommendations, policy discussions, referrals, and follow-up items. This ensures future conversations begin with shared context.

Advisors have the option of using one of the templates we have created or drafting a note ad-hoc. The choice is yours. As an advisor, you may find the templates helpful in reducing redundancy and saving time. The one titled “Internal Advising Meeting Note” contains prompts to aid in remembering what topics you may want to document. It’s not shared by default but can be made available to your student by adjusting the visibility setting.

Who sees a Note?

Notes are visible to authorized faculty and staff. Students do not automatically see notes, but you can choose to make specific notes—such as annual evaluations—accessible to students when needed.

How are notes created?

Some notes are created automatically by the system. For example, an approved exception or course substitution would be documented in Stellic. This would automatically generate a note that captures some minimal details such as date and time, and person granting the exception. Other notes are created by a person, either a committee member or designated individuals in the department or college office.

What types of “Notes” are there?

Stellic offers note types: “General Note”, “Log a Meeting”, “Give Kudos”, “Share a Concern”, and “Add a Referral”. You can “tag” users so that they’ll be notified of new notes. Kudos are visible to students; Share a Concern is not. Please keep in mind that not all departments are currently integrated into the platform when utilizing the Referral functionality.
